Hiver complaints should start by identifying which product and account are involved. Hiver in Gmail, Hiver Omni, shared inboxes, AI features, payment processing, privacy requests, and account deletion are handled differently. A useful complaint names the account, product, plan, renewal date, user count, affected mailbox or channel, support ticket, and the exact action you want.

Hiver's current pricing page shows Free, Growth, Pro, and Elite plans, a 7-day free trial, and public pricing that varies by annual versus monthly billing. Hiver's Terms of Service say subscriptions renew automatically, subscription charges are generally due in advance, and subscription charges are non-refundable unless another written term applies.

Best Hiver Complaint Paths

Issue Start here What to include
Billing or renewal charge Hiver admin/billing settings and support@hiverhq.com Account email, product, plan, renewal date, invoice, payment statement
Cancellation or deletion Admin panel deletion flow or support Admin email, account ID, requested termination date, export status
Upgrade or downgrade Billing/admin settings Old plan, new plan, date changed, user count, invoice
User-seat problem Admin settings and support Active users, invited users, deactivated users, billing period
Hiver in Gmail issue Gmail account, Chrome extension, shared inbox evidence Mailbox, label, assignment, sync issue, screenshots
Hiver Omni issue Omni workspace and channel settings Channel, ticket, workflow, customer portal, chat, WhatsApp, or voice record
AI feature issue AI feature setting and support Feature used, email/ticket content, output, team policy
Payment method issue Billing settings and support Stripe/processor record, card update, failed payment notice
Data export issue Export before account termination Export type, termination date, support record
Privacy request privacy@hiverhq.com or support@hiverhq.com Request type, account email, verification details
Outage or service incident Hiver Status page and support Incident time, affected feature, local error

If the issue involves Google Workspace or Microsoft access, include whether the problem started after a permission, OAuth, mailbox, or admin-policy change.

Step-by-Step: How to File a Hiver Complaint

1 Identify the Hiver product

Confirm whether the issue is in Hiver in Gmail, Hiver Omni, Hiver AI, AI Agents, AI Copilot, shared inboxes, live chat, workflows, analytics, integrations, or account billing.

2 Collect account and billing records

Save the account email, admin email, plan, user count, renewal date, invoice, payment statement, order form if any, support ticket, and screenshots from admin or billing settings.

3 Collect product evidence

For product problems, save the mailbox, label, ticket, channel, workflow, SLA, assignment, AI output, sync status, error message, integration record, or status page incident.

4 Use the right admin path first

For billing, plan, user, and deletion issues, start in Hiver settings or the admin panel. If the in-product action does not work, email support with screenshots and dates.

5 Ask for one written resolution

Request cancellation confirmation, invoice correction, refund review, plan correction, user-count correction, AI feature setting change, data export, privacy response, bug investigation, or written billing decision.

6 Escalate with the same evidence

If Hiver does not resolve the issue, use a payment issuer billing-error notice, state consumer office, privacy regulator, contract notice path, or legal/accounting advisor depending on the issue.

What to Have Ready Before Contacting Hiver

Information Why it matters
Product name Hiver in Gmail and Hiver Omni differ
Account/admin email Needed to locate billing and deletion authority
Plan and billing period Determines renewal, downgrade, and refund review
User count Needed for seat-based billing disputes
Invoice and payment record Needed for charge, tax, and payment-method issues
Order form or written quote Can override public pricing in some accounts
Mailbox, label, channel, or ticket Needed for workflow and sync complaints
AI feature and output Needed for AI Copilot, AI Agents, AI QA, or AI Insights complaints
Export request date Important because post-termination data access is time-limited
Privacy request details Needed for access, correction, deletion, opt-out, or DPF complaint

For a shared inbox complaint, identify the mailbox or label and the user who assigned, replied, closed, or changed the conversation. For a billing complaint, identify the billing admin and the renewal date.

Pricing, Trial, and Plan Details to Check

Hiver's current public pricing page for Hiver Omni lists:

Plan Public price shown Notes
Free $0, free forever For teams just getting started
Growth $25 or $35 per user/month The page shows annual versus monthly pricing options
Pro $55 or $65 per user/month Marked as a popular plan on the page
Elite $85 or $95 per user/month Includes higher-tier support and administration features

The page says a 7-day free trial gives access to the Elite plan. It says Hiver emails when the trial expires; if you do not continue, the account is suspended. It also says Hiver's sign-up flow has no credit card requirement for the trial/free plan.

Before filing a pricing complaint, check:

  • Hiver in Gmail versus Hiver Omni
  • annual versus monthly billing
  • Free, Growth, Pro, or Elite plan
  • active user count and invited user count
  • order form, quote, or discount
  • whether the disputed item is a subscription, AI feature, extra channel, or integration
  • whether the account moved from a trial to a paid subscription

If an order form or sales quote exists, use that record as the source of truth for your complaint rather than only the public pricing page.

Billing, Cancellations, and Refund Review

Hiver's Terms of Service say the service is provided on a term-based paid subscription basis and renews automatically unless terminated under the terms. Subscription charges are due in full and payable in advance when you subscribe, and credit cards may be charged on subscription and renewal.

The terms say all subscription charges are non-refundable unless a specific service plan, order form, or the terms state otherwise. They also say no refunds are issued for partial use or non-use of the services.

For cancellation timing, the terms say either party may terminate at the end of the then-current subscription term by providing at least 30 days' written notice before the upcoming renewal date. If you terminate before the end of the current subscription term, the terms say unpaid subscription charges for the remainder of the term remain due unless Hiver agrees otherwise in writing or the termination follows Hiver's uncured material breach.

Use this table to frame the request:

Situation Better request
Annual renewal you did not expect Ask Hiver to show the renewal date, notice record, plan, user count, and subscription term
Cancellation requested near renewal Ask whether the 30-day written-notice requirement affected the renewal
Downgrade did not reduce the current invoice Ask whether the downgrade takes effect after the current subscription term
Upgrade caused an immediate amount Ask for the prorated calculation and new rate
Failed card or invoice issue Ask for the delinquency notice and payment-remedy deadline
Refund request after non-use Ask for a discretionary refund review and the written policy decision

For card payments, Hiver's privacy policy says card information is collected and processed directly by Stripe Checkout, and Hiver does not receive or store full credit card information.

Upgrades, Downgrades, and User Counts

Hiver's terms say upgrades and downgrades can happen within or between service plans. If you upgrade, the new subscription charges become immediately applicable and the current month can be prorated. If you downgrade, the new charges take effect only after the current subscription term ends.

For user-seat complaints, include:

Issue Evidence
Wrong number of billable users Active user list, invited users, deactivated users
Prorated upgrade amount Upgrade date, invoice, user count
Downgrade not reflected Downgrade date and current subscription term end date
Discount not applied Quote, order form, sales email
Product mismatch Hiver in Gmail versus Hiver Omni plan screenshot
Feature lost after downgrade Old plan, new plan, missing feature

Do not combine a product bug and a billing complaint unless the product bug directly caused the disputed charge.

Product, Sync, and AI Feature Complaints

Hiver's product pages describe Hiver in Gmail as a Gmail-native helpdesk and Hiver Omni as a dedicated omnichannel platform. The pricing page references AI Agents, AI Copilot, AI QA, AI Insights, omnichannel inboxes, live chat, knowledge base, customer portal, workflow automation, analytics, CSAT, integrations, ticketing, SLA, approvals, custom fields, and security/team-management features.

For product complaints, submit a reproducible case:

Problem Include
Gmail shared inbox issue Mailbox, label, thread, user, Chrome extension version
Sync or permission issue Google/Microsoft admin change, OAuth permission, timestamp
Ticket assignment problem Ticket ID, assignee, workflow, SLA, status
Customer portal issue Portal URL, customer account, ticket, screenshot
AI output issue Feature, input content, output, expected behavior
AI data handling concern Feature enabled, content category, support request
Integration issue Integration name, external record ID, sync time
Analytics mismatch Report, date range, filters, exported file

Hiver's terms say AI features may process and store content as necessary for functions such as summarization, automated categorization, response suggestions, and related enhancements. The terms also say Hiver will not use AI-processed content, including email content, for AI model training, advertising, or unrelated purposes beyond delivering and maintaining those AI features, except as required by law. If you do not want email content stored for AI processing, the terms say you can contact Hiver support to explore available options.

Data Export, Account Deletion, and Privacy Requests

Hiver's terms say account deletion can be requested through the admin panel in Hiver settings, and the support team will contact you to complete deletion. They also say you can submit a deletion request by writing to support@hiverhq.com.

The terms strongly recommend exporting all data before terminating the account. After account termination or free-trial expiration without subscription, Hiver says it keeps data for 14 days from the termination or expiration date, during which you can contact Hiver to export data. After that window, Hiver reserves the right to delete data in the normal course of operation, and deleted data cannot be recovered. The terms also say some content, data, information, or files may remain in backups for up to two months.

Hiver's privacy policy says:

  • Hiver in Gmail shared-label and shared-mailbox emails are not stored on Hiver servers, except emails may stay on Hiver servers for up to 1 hour while being synced between Gmail accounts and are encrypted during temporary storage.
  • Hiver Omni retains customer data for the duration of the customer account and deletes it on account closure, subject to backup schedules and legal obligations.
  • Privacy and personal-data requests can be sent to privacy@hiverhq.com or support@hiverhq.com, depending on the request.
  • Requests to access, change, or remove information are handled within 30 days.
  • Hiver lists GDPR, SOC 2 Type II, ISO/IEC 27001, CCPA, and HIPAA compliance references on its pricing/security feature table.

For privacy requests, be specific about whether you are the Hiver customer/admin, an employee using a Hiver workspace, or a person whose message was handled by a company using Hiver.

When to Escalate Beyond Hiver

Situation Escalation path Notes
Billing issue unresolved Payment issuer billing-error notice Include invoice, payment statement, renewal date, and support history
Cancellation or renewal dispute Written contract notice or state consumer office Include the 30-day notice issue and order form if any
Privacy request unresolved Privacy regulator or data protection authority Include request date, verification history, and Hiver response
DPF-related privacy issue EU DPA, Swiss FDPIC, or UK ICO path if applicable Hiver's privacy policy describes these paths for unresolved framework complaints
Outage or delivery issue Hiver Status plus support Include incident timing and affected mailbox or channel
Email provider permission issue Google/Microsoft admin review plus Hiver support Include OAuth/admin changes and affected mailbox
Contract dispute Terms notice path or legal advisor Hiver's terms reference California law, Santa Clara County venue, and arbitration provisions

For payment disputes, keep the written packet concise: invoice, plan, renewal term, user count, cancellation request, Hiver response, and payment statement.
