1 Identify the Harvest product and issue

Decide whether the complaint is about Harvest time tracking, Harvest invoices and payments, Harvest Forecast, subscriptions, seats, account ownership, privacy, security, or a card billing error.

2 Collect account and billing details

Save the Harvest account URL, account email, account owner/admin name, plan, seat count, billing version if visible, invoice number, renewal date, payment method, and payment statement.

The pricing FAQ says the 30-day trial does not require a credit card. If a trial is not upgraded at the end of 30 days, the trial account is automatically deactivated, but Harvest says it does not delete the data at that point. It also says annual payment receives a 20% discount, and that teams with 10 or more seats paying yearly can request invoice payment by ACH or bank transfer.

Before filing a billing complaint, confirm:

  • monthly versus annual billing
  • current plan and scheduled plan change
  • current seat count and next-renewal seat count
  • whether your account is on v1 billing or v2 billing
  • whether the disputed item is Harvest or Forecast
  • whether the issue is an invoice payment integration such as Stripe, QuickBooks Online, Xero, Deel, or another connected tool

Cancellation, Seat Changes, and Refund Review

Harvest's Terms of Service say subscription plans may renew automatically. They also say you can choose not to renew by logging into the account and cancelling no later than the last day of the current subscription term. If you choose not to renew, the terms say you will not receive a refund or credit for fees already paid, unpaid fees remain due through the end of the current term, and service continues until the end of that term.

The same terms say unused add-ons, features, or other items are not reimbursed and do not roll over to a later subscription term. Downgrades or seat reductions can be set in the account, but do not become effective until the end of the current term, and Harvest says no refund or credit is provided for that downgrade or seat reduction.

For v2 billing and Free accounts, Harvest's support article says administrators can use Settings > Billing, then Manage or the Close account link, depending on the account view. For v1 billing, Harvest describes placing an account on hold or closing it; only the Account Owner can do that, and the actions must be done in a web browser.

Data Export, Closed Accounts, and Account Ownership

Harvest's v1 billing help says putting an account on hold keeps the account intact for up to six months, no payment is taken while the account is on hold, and Harvest emails a download link for time and invoice data that is available for one week. If the account is not reactivated after six months, Harvest says it will be permanently deleted along with its data.

For account closure, Harvest says it emails a download link for time and invoice data that is available for one week after closure, and that account data is permanently removed from the system after 10 days. The support article recommends exporting any data needed before closing the account.
