If a reservation was made through a third-party travel site, check that booking platform's rules first. Best Western can often help with property details, but the third-party seller may control changes, refunds, or payment disputes.
Reservations, Cancellations, and No-Show Fees
For reservations made on bestwestern.com, Best Western says you can use Check Reservations in the main navigation, then enter your first and last name plus confirmation number to view the stay and cancel it, if it is still within the cancellation period.
For reservations made directly with the hotel, contact the hotel directly. Best Western's FAQ says hotel-direct reservations cannot be modified or canceled on bestwestern.com.
Read the individual hotel's cancellation policy before changing plans. Best Western says that if you do not cancel according to the hotel's policy, you can be charged for one night's stay unless the reservation required full prepayment or a minimum length of stay.
Billing, Receipts, and Deposit Holds
Billing is usually a property-level issue. Best Western's customer-service page says that credit card and billing information is only accessible by the hotel, so contacting the property directly may speed up a billing or receipt problem.
Use the property route for:
- duplicate charges
- missing receipts or folios
- taxes and fees on the folio
- incidental authorization holds
- parking, pet, destination, or resort fees
- refund or credit after a bad stay
- card charged after a cancellation
If you also contact Best Western Customer Service, include the hotel name, stay dates, confirmation number, folio, charge amount, and what the hotel already told you.
Best Western Rewards and Missing Points
For Rewards account help in North America, Best Western lists 1-800-237-8483 with hours of Monday-Sunday, 5 a.m.-10 p.m. MST. Use this path for login problems, missing points, account questions, and rewards-service requests.
Best Western says to allow up to 7 days for points or airline rewards to post. Airline or partner rewards can take up to two statement cycles. If points are still missing after the normal window, log in and use the Missing Points or Airline/Partner Rewards Discrepancy request.
Best Western also says stays over 6 months old cannot be reviewed for points or airline rewards. For international stays or reservations not made through Best Western channels, keep the itemized hotel receipt or folio because Best Western may ask you to submit it.
Accessibility, Privacy, and Sensitive Requests
For accessible-room booking help, Best Western says to call reservations at 1-800-780-7234 if you need help using the website to make a reservation. For web accessibility feedback, use the Web Accessibility Form and describe the page, device, and issue.
For privacy requests, use Best Western's privacy request form rather than sending sensitive identity or account details through a general support message. Best Western's privacy policy says guests can request access to personal information, and the customer-service page links to a form to request access, deletion, or updates.
Use this script:
"I need help with a Best Western issue. The hotel is [hotel name and city], the stay dates are [dates], the confirmation number is [number], and my Best Western Rewards number is [number if relevant]. The issue is [reservation change, cancellation, bill, receipt, missing points, accessibility, privacy, or post-stay feedback]. Please confirm the correct department, the current status, and the next step in writing."
Helpful questions:
- "Was this reservation made on bestwestern.com, through a reservation center, directly with the hotel, or through a third-party booking site?"
- "Which cancellation policy applies to this specific reservation?"
- "Can the hotel resend the folio or receipt?"
- "Is this charge a final charge or a temporary authorization hold?"
- "Has the hotel already reviewed the billing issue?"
- "Have Rewards points posted, or should I submit a Missing Points request?"
- "Can you provide a case number or written confirmation?"
