Airbnb Automated Messages: Five Host Templates That Reduce Guest Questions Without Creating Review Risk

Build five Airbnb automated messages for booking, arrival, the first night, checkout and reviews—plus the conditions that should stop automation.

The best automated message is not the longest one. It delivers the right information at the right moment, creates a clean record and knows when to stop so a human can take over.

A short-term-rental operator shared a five-message sequence used across a large portfolio: a welcome note after booking, access instructions on arrival day, a check-in after the first night, a checkout reminder and a post-stay review request. The appeal is obvious. Guests repeatedly ask about the address, parking, door code, Wi-Fi and checkout time. A reusable sequence can answer those questions before they reach the host.

But copying five scripts is not a complete communication system.

A guest who cannot open the door should not receive the same cheerful automation as a guest who checked in successfully. A reservation with an unresolved cleanliness complaint should not automatically receive “Hope you had a five-star stay.” And a message that promises the guest a five-star review while asking for one in return can create review-policy risk rather than reduce it.

Quick answer: Airbnb supports scheduled quick replies triggered by events such as a new reservation, check-in and checkout. A practical host sequence contains five core messages: booking confirmation, arrival instructions, first-stay check-in, checkout reminder and post-stay thank-you. Each message should use verified reservation data, repeat—not newly reveal—material listing facts, and route access, safety, cleanliness, refund and damage issues to a human. Ask for an honest review, never a reciprocal five-star review.

Editorial note: The operating idea in this article was inspired by anonymized, user-provided social-media material. The original portfolio size and claimed communication savings have not been independently verified and are not repeated as performance claims. The templates below are original. This article focuses on Airbnb platform operations, not local short-term-rental laws, tax rules or legal advice.

Five Messages Are Not the System

Airbnb's own tools support scheduled quick replies and allow a host to personalize them with reservation and listing details. A host can also review, edit, send early or skip an upcoming message for a particular reservation without changing the master template. That last capability matters: the platform itself is designed for exceptions, not blind automation. Airbnb: Create Scheduled Quick Replies

A reliable communication system has three layers.

Layer Purpose Examples
Scheduled Delivers predictable information at a useful time Booking confirmation, parking, check-in time, Wi-Fi, simple checkout reminder
Conditional Changes the message according to the reservation One-night stay, late booking, pet reservation, early-arrival request, long stay
Manual Stops generic automation and assigns a person Lockout, safety concern, cleanliness complaint, missing amenity, refund request, damage or review dispute

The common mistake is building only the first layer. The host schedules five friendly notes, assumes every stay follows the happy path and measures success by how few messages the team personally writes.

That is incomplete. The goal is not fewer messages at any cost. The goal is fewer repeated questions, faster identification of real problems and a cleaner record when something goes wrong.

Before Writing Templates, Build a Disclosure Inventory

Several facts shown in community message examples—no air conditioning, unusual parking, shared walls, a basement unit, many stairs, street noise, no laundry, limited garage access or old plumbing—may affect whether a guest books at all.

Those facts should not first appear in a welcome message sent after payment.

Airbnb's host ground rules require listings and additional host statements to accurately describe the home and the amenities available during the stay. Airbnb's refund policy also recognizes issues such as inaccessible accommodations, undisclosed shared occupancy, serious safety or cleanliness conditions and important advertised amenities that are missing or do not work. Airbnb: Ground Rules for Home Hosts, Airbnb: Rebooking and Refund Policy for Homes

Create one source-of-truth sheet before building automation:

Field Example Where it must be maintained
Property address Verified postal address and map pin Listing and reservation data
Check-in and checkout 4:00 PM / 11:00 AM, property time zone Listing and scheduled fields
Access method Keypad, smart lock or lockbox Listing check-in method
Parking Number of vehicles, exact spaces and restrictions Listing plus arrival reminder
Material limitations Stairs, shared walls, noise, no AC, no laundry Listing before booking
House rules Smoking, parties, occupancy and pets Listing before booking
Checkout tasks Keys, doors, windows, lights, trash and towels Listing checkout instructions
Emergency path Local contact and when to use it House manual and arrival message

The welcome message may repeat the most important facts. It should not repair an inaccurate listing after the reservation is made.

Template 1: Booking Confirmation

Recommended timing: Shortly after a confirmed booking.

Its job: Confirm the reservation, set the information schedule and surface special needs early. Do not overwhelm the guest with every rule or send a long-lived access code months in advance.

Original template

Hi {{guest_first_name}}, thank you for booking {{listing_name}} for {{check_in_date}} through {{checkout_date}}. We look forward to hosting you.

Check-in begins at {{check_in_time}}, and checkout is by {{checkout_time}}. Before arrival, please review the listing's house rules and confirm that the guest count, parking needs and any approved pets are correct.

We will send detailed arrival and access instructions closer to check-in. If anyone in your group has an accessibility need or another request that could affect the stay, please reply here in Airbnb so we can confirm what the home can accommodate.

Why it works

It gives the guest certainty without repeating an entire listing. It also creates a natural opportunity to correct guest count, parking or accessibility assumptions before arrival.

The sentence “we will send detailed access instructions closer to check-in” reduces repeated door-code questions. Airbnb lets hosts publish a check-in method and detailed instructions; guests can see the method before booking, while the detailed instructions become available 48 hours before check-in. Airbnb: Add Check-In and Checkout Instructions

Do not put this in the template

  • a permanent door code that works long before arrival;
  • a new fee or restriction not already shown in the listing;
  • a request to move the conversation, payment or future booking off Airbnb;
  • an external mandatory registration flow unless a recognized policy exception applies; or
  • an unsupported promise such as guaranteed early check-in.

Airbnb recommends keeping the primary conversation in its message thread, and its off-platform policy restricts attempts to move communications, reviews or bookings elsewhere. Airbnb: Keep Your Conversations on Airbnb, Airbnb: Off-Platform and Fee Transparency Policy

Template 2: Arrival and Access Instructions

Recommended timing: Close enough to check-in that the information is actionable. The operating instructions may be sent in advance; a reservation-specific access code can be activated and sent closer to arrival.

Its job: Get the guest from the street into the correct property without needing an urgent reply from the host.

Original template

Hi {{guest_first_name}}, your stay at {{listing_name}} begins today at {{check_in_time}}.

Address: {{property_address}}

Parking: {{parking_instructions}}

Entrance: {{entrance_description}}

Door code: {{reservation_specific_door_code}}

To unlock: {{unlock_steps}}. To lock: {{lock_steps}}.

Wi-Fi: {{wifi_name}} / {{wifi_password}}

If the code does not work, reply here immediately and call {{urgent_contact}}. Please do not force the lock or use another unit's entrance.

Have a smooth trip. Once you are inside, a quick “checked in” reply helps us know access worked.

The access-code rule is operational, not an Airbnb mandate

Airbnb does not require a host to send a permanent door code immediately after booking. A better security practice is to use a unique code for each reservation, activate it near check-in and expire it after checkout. That recommendation should not be misrepresented as a platform rule.

Before every arrival message, validate:

  • property and unit address;
  • guest's reservation dates;
  • local time zone;
  • check-in time;
  • code activation and expiration;
  • keypad battery or lock connectivity;
  • parking restrictions; and
  • fallback access owner.

A template with the wrong code is worse than no template because it creates false confidence. The host should test both the data field and the physical lock.

Manual takeover: access failure

The words cannot enter, code not working, locked out, wrong unit or key missing should trigger immediate human handling. Pause the generic first-night message until access is confirmed. Record the report, response time, replacement code or local assistance in the Airbnb thread.

Template 3: First-Stay Check-In

Recommended timing: After the guest has had enough time to enter and use the home. For a typical multi-night stay, that may be the evening of arrival or the following morning—not necessarily “day two” for every booking.

Its job: Turn silent dissatisfaction into a repairable, documented issue before checkout.

Original template

Hi {{guest_first_name}}, I hope you settled in comfortably at {{listing_name}}.

Is access complete, and is everything working as the listing described? If anything needs attention, please reply here in Airbnb with a short description and a photo or video if helpful. We will confirm the next step and timing as quickly as we can.

If there is an urgent safety or access issue, please also call {{urgent_contact}}.

This is the most valuable message in the sequence

“Hope everything is great” is friendly, but it does not tell the guest what to do if everything is not great. The revised version creates a low-friction reporting path and keeps the initial facts in the platform record.

Airbnb generally asks hosts to respond to messages within 24 hours, but 24 hours should not be treated as an acceptable waiting target for an active lockout, leak, no-heat event or other urgent stay problem. Response time should match the issue. Airbnb: Why Hosts Are Asked to Respond Within 24 Hours

If the issue is handled by phone, add a short written recap:

Confirming our call at {{time}}: {{reported_issue}}. {{vendor_or_contact}} is expected between {{service_window}}, and you approved entry. We will update this thread after the visit.

This is evidence discipline, not bureaucracy. Airbnb's refund process considers timely reporting and documentation such as platform messages, photos, videos and host confirmation. Guests generally must report a reservation issue within 72 hours after discovery. Airbnb: Rebooking and Refund Policy for Homes

Manual takeover: service recovery

Stop generic automation when the guest reports:

  • inability to enter or secure the property;
  • safety, health, pest, mold or sanitation concerns;
  • missing or non-working advertised amenities;
  • unusual noise, unauthorized occupancy or privacy concerns;
  • a request to leave early, change the trip or receive a refund; or
  • a repair that requires entry.

The next message must address the specific facts, proposed action, timing and access permission. Do not send “Hope you're having a five-star stay” while a bathroom is unusable.

Template 4: Checkout Reminder

Recommended timing: The afternoon or early evening before checkout, adjusted for the property's time zone.

Its job: Repeat a short list the guest could already see, remove checkout ambiguity and help the operations team schedule turnover.

Original template

Hi {{guest_first_name}}, we hope you have enjoyed your stay. Checkout is tomorrow by {{checkout_time}}.

Before leaving, please:

  1. place used towels in {{towel_location}};
  2. put bagged trash in {{trash_location}};
  3. return {{keys_or_parking_pass}} to {{return_location}};
  4. turn off lights and permitted appliances; and
  5. close windows and lock the doors.

Please check for personal belongings and message us when you leave. If you need to request late checkout, ask here before {{late_checkout_request_deadline}}; it is not confirmed unless we approve it in writing.

Safe travels.

Airbnb's listing tools include checkout options for returning keys, locking doors or closing windows, turning things off, handling trash, gathering used towels and one short additional request. Guests can review checkout instructions before booking. Airbnb: Add Check-In and Checkout Instructions

Do not invent chores the night before checkout

A reminder should repeat disclosed tasks, not introduce a surprise deep-cleaning job. Avoid suddenly asking guests to strip every bed, wash and dry linens, run multiple appliance cycles or complete an undisclosed commercial turnover.

The shorter the list, the more likely guests are to finish the items that protect the property: securing doors, returning access devices, handling obvious trash and preventing running appliances.

Conditional branch: a changed checkout

Do not let the standard reminder override:

  • an approved late checkout;
  • an early departure connected to a complaint;
  • a pending trip alteration;
  • an active repair appointment;
  • a guest who cannot access part of the home; or
  • special key-return instructions created during the stay.

Edit or skip the message for that reservation.

Template 5: Post-Stay Thank-You and Review Request

Recommended timing: After checkout and after the operations team has confirmed there is no unresolved service, refund or damage issue.

Its job: Close the stay politely and invite authentic feedback without pressure or an exchange.

Original template

Hi {{guest_first_name}}, thank you for staying at {{listing_name}}. We hope your trip home went smoothly.

If you have a moment, we would appreciate an honest review of your stay. Your feedback helps future guests know what to expect and helps us improve.

Thank you again for choosing our home.

Why “We gave you five stars—please give us five stars” is risky

Airbnb prohibits coordinating, manipulating, incentivizing or pressuring another person to influence a review. Its policy specifically rejects an exchange involving a reciprocal positive review, a discount, a refund, another thing of value or a promise not to take negative action. Airbnb: Reviews Policy

Do not combine these ideas:

  • “We left you five stars”; and
  • “Please leave us five stars.”

Even if the host intends only to be friendly, the paired message can look like an invitation to trade positive reviews. Ask for an honest review without announcing, bargaining over or conditioning the other party's rating.

Airbnb's home-review process gives both sides 14 days after checkout. Reviews publish after both sides submit or when that period ends. The double-blind structure does not make review trading acceptable. Airbnb: Reviews for Homes

When to skip the review request

Skip it when:

  • a refund or compensation remains unresolved;
  • the guest has made a serious complaint;
  • the host is preparing a damage request;
  • Airbnb Support or the Resolution Center is involved;
  • the property team has not completed the post-stay inspection; or
  • the message would read as pressure in the context of an ongoing dispute.

A routine automation should never complicate an evidence-sensitive conversation.

The Exception Queue: When Automation Must Stop

Add an operational status to each reservation. NORMAL allows the five-message sequence. Any exception changes the next action.

Status Trigger What the system may send What a person must do
ACCESS Code failure, missing key, wrong entrance Acknowledgment and urgent contact Verify access immediately; record resolution
SERVICE Cleanliness, repair, safety, pest, noise or missing amenity Receipt confirmation and evidence request Give an action plan, time and access procedure
CHANGE Early arrival, late departure, shortened stay, cancellation or refund Confirmation that the request is under review Use Airbnb's alteration, support or Resolution Center process
INCIDENT Extra guests, party, neighbor complaint, property damage or lost item Neutral preservation instructions Document facts, avoid accusations and follow the correct platform process
DISPUTE Claim, compensation, serious complaint or review pressure No generic review message Preserve the listing, thread, photos, receipts and timeline

An exception is not closed because the host answered once. Close it only after the result is confirmed in writing—for example, the guest entered successfully, the technician completed the repair, the alteration was accepted or the refund was processed.

Last-Minute Bookings, One-Night Stays and Long Stays Need Different Timing

Airbnb warns that scheduled messages whose trigger time has already passed can be skipped for last-minute bookings or short stays. A host can choose settings that send some messages immediately or at check-in instead. Airbnb: Create Scheduled Quick Replies

That means the same five-message schedule should not run unchanged for every reservation.

One-night stay

Combine booking confirmation with the arrival-information schedule. Send the check-in question shortly after arrival, not after the guest has already checked out. The checkout reminder may follow the same evening. Avoid three messages arriving within minutes.

Two- to six-night stay

Use the full five-message sequence. Time the first-stay check-in after the guest has used the property but while there is still time to fix an issue.

Seven- to 29-night stay

Add a mid-stay operational message about trash day, supply limits or scheduled service only if those facts were disclosed and genuinely relevant.

Thirty nights or more

Do not merely multiply short-stay messages. Longer occupancy may be regulated differently under local law, lease rules, building policies and platform terms. Scheduled cleaning, replenishment, mail, maintenance access and occupant rules need their own documented arrangement.

Measure the System Without Inventing an “80% Savings” Result

The community post that inspired this guide claimed a large reduction in communication. That number may describe one operator's experience, but it is not a verified benchmark and should not become a promise.

Track observable measures instead:

  • repeat questions per reservation;
  • percentage of guests who confirm successful entry;
  • access-failure rate;
  • median first response time during an active stay;
  • number of upcoming messages manually edited or skipped;
  • time from issue report to action plan;
  • reservations escalated to Support or the Resolution Center;
  • checkout tasks most often missed; and
  • recurring review themes tied to communication, access or accuracy.

Review the data by property. If 30% of one home's guests ask where to park, the answer is not a warmer parking message. The listing, map, signage or arrival photo may be unclear.

Keep the Record Where Support Can Use It

Airbnb recommends using its message thread as the primary communication channel so Support can see a clear record if a problem occurs. Phone calls may be necessary during an emergency, but the outcome should be summarized in the platform afterward. Airbnb: Contacting Guests by Phone

For an abnormal stay, preserve:

  1. the listing as booked, including amenities, rules and material disclosures;
  2. the reservation details and accepted changes;
  3. every scheduled message and whether it was sent, skipped or edited;
  4. guest reports and the host's response time;
  5. original photos and videos;
  6. service appointments, findings and invoices;
  7. refunds, credits or promises; and
  8. the final resolution.

When the conversation moves to a call, use one paragraph to return the result to the message thread. A searchable timeline is more useful than screenshots scattered across phones and team chats.

How Pine Fits Into the Workflow

Pine is not Airbnb's message scheduler and does not replace Airbnb Support. Its useful role begins when a routine reservation becomes difficult.

Use Pine to organize the listing promises, guest messages, call summaries, photos, receipts and incident timeline before replying, requesting reimbursement or escalating. The result should be a compact evidence packet that answers:

  • What did the listing promise?
  • What happened, and when?
  • When did the guest report it?
  • What did the host or manager do?
  • What was promised next?
  • What remains unresolved?

Automation handles repetition. Organized evidence handles exceptions.

Frequently Asked Questions

Can Airbnb hosts automate guest messages?

Yes. Airbnb supports scheduled quick replies triggered by events such as a new reservation, check-in and checkout. Hosts can personalize messages with reservation and listing details and can edit, send early or skip a pending message for one reservation. Airbnb: Scheduled Quick Replies

What are the five most useful Airbnb automated messages?

A practical base sequence includes a booking confirmation, arrival and access instructions, a first-stay check-in, a checkout reminder and a post-stay thank-you that invites an honest review. Access failures, complaints, trip changes and disputes should leave the automated sequence and go to a person.

When should an Airbnb host send a door code?

Airbnb makes detailed check-in instructions visible 48 hours before check-in but does not require hosts to send a permanent code immediately after booking. Using a reservation-specific, time-limited code and sending or activating it close to arrival is an operational security recommendation, not a stated Airbnb rule. Airbnb: Check-In Instructions

Can an Airbnb host ask for a five-star review?

A host may request an honest review. Airbnb prohibits manipulation, pressure, incentives and reciprocal positive reviews. Pairing “we gave you five stars” with “give us five stars” creates avoidable policy risk. Airbnb: Reviews Policy

What checkout tasks can an Airbnb host request?

Airbnb's listing tools include returning keys, locking doors or closing windows, turning off items, handling trash, gathering towels and one short custom instruction. The final reminder should repeat disclosed requirements, not introduce a surprise cleaning list. Airbnb: Checkout Instructions

Should guest communication stay on Airbnb?

Yes, as the primary channel. Airbnb says keeping messages on-platform provides a clearer record for Support and reduces fraud risk. If an urgent issue is resolved by phone, summarize the result in the Airbnb thread. Airbnb: Keep Conversations on Airbnb

What should stop an Airbnb automated message sequence?

Stop or edit generic messages after a lockout, safety or cleanliness complaint, missing amenity, refund request, reservation change, damage allegation, Support escalation or unresolved dispute. A human should confirm the facts, response and outcome before routine automation resumes.

The Operating Principle

Five templates can reduce repetitive typing. They cannot replace accurate listings, tested access, timely service recovery or judgment.

The mature version of automated guest communication is not “set it and forget it.” It is:

  1. disclose important facts before booking;
  2. send the minimum useful information at the right time;
  3. keep the operational record on the platform;
  4. stop the sequence when the stay leaves the happy path; and
  5. ask for honest feedback without trading or pressuring reviews.

That system may save time. More importantly, it reduces the chance that a preventable question becomes a late-night lockout, a surprise checkout dispute or an automated five-star request sent into an unresolved complaint.
